WooCommerce order notifications on WhatsApp
Email open rates for transactional mail are a known quantity and WhatsApp is not close to them. But a shop that pushes marketing through the same pipe as receipts loses the number. This covers both halves.
A WooCommerce shop sends its order confirmations by email, and a good share of them are never opened. Transactional email does better than marketing email and still loses to WhatsApp badly, in markets where WhatsApp is how people communicate at all.
The catch is that the same pipe carrying receipts is the one that gets numbers banned when it starts carrying promotions. Both halves are below.
What to actually send
| Moment | Send it? | Why |
|---|---|---|
| Order placed | Yes | Expected, welcome, and the receipt people keep |
| Payment confirmed | Only if separate from the above | Two messages for one event is one too many |
| Order shipped, with tracking | Yes | The most-opened message a shop sends |
| Out for delivery | Yes, if you have the signal | High value, and the reason people check |
| Delivered | Usually not | They know. Send it only if it opens a returns window |
| Abandoned cart | Once, carefully | Works, and the fastest way to get reported if overdone |
| Review request | Once, days later | After the thing has arrived and been used |
| Promotions | Separately, or not at all | This is the one that costs you the number |
The line that matters: a customer who gave you their number to receive an order update did not give it to you for a sale on sunglasses. Treat those as two different permissions, because WhatsApp’s enforcement effectively does — it runs on how recipients react, and nothing draws a block faster than an unexpected promotion.
Getting the number right
WooCommerce stores a billing phone that is whatever the customer typed, which means local formats, spaces, brackets and the occasional landline. Three rules:
- Normalise to international format at the point of capture, with a country selector rather than a free-text box. A number stored as
06 12 34 56 78is unusable without knowing the country. - Check the number has WhatsApp before relying on it. Plenty do not, and a message to an account that does not exist is accepted and delivered nowhere — see sent but not delivered.
- Keep email as the fallback. WhatsApp is the better channel, not the only one, and a customer whose number fails should still get their receipt.
Asking permission properly
A checkbox at checkout — Send my order updates on WhatsApp — ticked by the customer, not by you. It costs a little volume and buys the thing that actually matters, which is a recipient who expected the message.
Keep marketing consent separate and make it a second, unticked box. Bundling them is how a shop ends up sending promotions to people who wanted a tracking number, and that is the road to a restricted number rather than a clever growth tactic.
Writing the message
WhatsApp is not email. No header, no preamble, no signature block. The first line should contain the fact.
Bad: “Dear valued customer, thank you for shopping with us. We are writing to inform you that your order has been dispatched…”
Better: “Order #1847 is on its way — blue kettle, arriving Thursday. Track it: example.com/t/1847”
And expect a reply. That is the entire advantage of the channel over email: “can I change the address?” arrives thirty seconds later, and it needs to reach somebody. A shop that sends from a number nobody watches has built a worse email.
Abandoned carts, without the damage
They work — reply rates embarrass email — and they are also the single most complained-about message type in this category. What separates the two:
- Once. Not a three-part sequence. One message, and let it go.
- An hour or two later, not four days.
- Only where consent exists, which usually means a logged-in customer.
- Helpful, not pushy. Offering to answer a question outperforms a discount, and does not train people to abandon carts.
- Stop on reply. Anyone who answers is in a conversation now, and a scheduled follow-up landing on top of that is what gets you reported.
Wiring it up
Three usual routes, in increasing order of effort and control:
- A plugin. Hooks the WooCommerce order events and sends. Fastest, and fine if the events you want are the ones it covers.
- Webhooks into an automation tool. WooCommerce emits order events; n8n or similar shapes them and calls a send API. Good when you want conditions — only over a value, only for certain shipping classes.
- Direct from your own code. Most control, and the right answer when the message depends on something only your shop knows.
WaveSenda covers all three: a WooCommerce plugin, webhooks, and an API with SDKs. Replies land in a shared inbox rather than one person’s phone, which matters more than the sending does once volume is real.
Common questions
Do I need the official WhatsApp Business API for order notifications?
Not necessarily. At very large volumes, with templates you rarely change, the official platform is built for it. A shop sending hundreds of updates a day to customers who reply is usually better served by a connected number, because those replies need to reach a person.
Will sending order updates get my number banned?
Order updates to customers who asked for them are among the safest messages you can send — they are expected and rarely blocked. What gets numbers restricted is marketing sent through the same channel to people who only consented to delivery updates.
What if the customer’s number is not on WhatsApp?
Check before you rely on it, and fall back to email. A message to a number with no WhatsApp account is accepted and silently delivered nowhere, so without a check you will believe you notified somebody you did not.
Should I send abandoned cart messages on WhatsApp?
Once, within a couple of hours, only to customers who consented, and stopping immediately if they reply. Sequences of three or four are effective in the short term and are the most reported message type in ecommerce WhatsApp — the damage is to the number every other message depends on.
Can customers reply to an order notification?
They will, whether or not you planned for it, and that is the advantage of the channel. Send from a number somebody watches. A notification address nobody answers is a worse version of email with a higher chance of being blocked.
